Why are my grants not in Elements and/or my FAR?
Answer
First, you will need to ensure that the grant(s) are for this reporting year. If you are in the College of Agriculture and Life Sciences (CALS), their FAR only pulls grants based on the fiscal year, not the calendar year. This is a bit confusing since the rest of the report is based on the calendar year but for grants, they do want it for the fiscal year.
In order for grants to import from the Office of Sponsored Programs, the grant will need to meet these four conditions:
- Externally awarded
- Awarded / not declined
- Funding has been received
- You are the PI or Co-PI
If the grant meets these four conditions and is not displaying in your profile, it may have privacy restrictions from OSP. Be sure to also check the ‘Pending’ list in the Grants module in Elements. If it is not in the pending list and does not have privacy restrictions, please contact Elements support and provide us with as many details as possible: Grant title, PI and Co-PI, granting agency, $ amount, Grant # if available, your percent Credit and your percent Effort.
Note: if the grant does not meet the above conditions, it will not import into Elements. For example, if it is internally funded at the university, it will need to be entered manually into Elements, with one exception. For the College of Engineering and the College of Science faculty members: Proposal data for grants from OSP do import directly into FARs (via the University Data Commons (UDC)) All other proposal data will need to be entered manually into Elements in order to import into your FAR.
Please also note that all grant data will, for most college FARs, only import into FARs if you are the PI or Co-PI, regardless of whether you add a manual record in Elements.
If your grant is not appearing on your FAR and it should be, please reach out to Elements support.
